How we handle your data

This Privacy Policy explains how Presentr Ltd (“Presentr”, “we”, “us”) collects, uses, and protects personal data when you use our services at presentr.co.uk and app.presentr.co.uk (the “Service”).

We act as a data controllerfor data relating to customers who sign up for Presentr accounts. For end-attendees of our customers' webinars, we act as a data processor on behalf of the host workspace.

1. Data we collect

From account holders (hosts)

  • Identity: name, email address, workspace name, workspace slug.
  • Billing: plan, billing interval, and a Stripe customer ID. We never store full payment card details — those live with Stripe.
  • Workspace content: webinar titles, descriptions, branding, uploaded videos, email-notification templates, and registration-form configurations.
  • Usage: login timestamps, IP address, user-agent, actions taken in the dashboard.

From attendees (registrants of a webinar)

  • Registration data: whatever fields the host configures on the registration form (typically email, first name, last name — optionally phone, company, custom fields).
  • UTM tags: source, medium, and campaign from the referring URL, if present.
  • Attendance data: when you joined a session, how much of the webinar you watched, which interactions you responded to, and what you wrote in chat.
  • Browser timezone: captured from your browser at registration so reminder emails show times in your local zone.

2. Legal bases

We process data under the following UK GDPR lawful bases:

  • Contract— to deliver the Service you've signed up for (host accounts, webinar delivery, billing).
  • Legitimate interests — to operate, secure, and improve the Service (analytics, abuse prevention, debugging).
  • Consent— for any non-essential cookies or marketing communications (we'll always ask first).
  • Legal obligation — to comply with HMRC, tax, and regulatory record-keeping.

3. How we use data

  • To provide host accounts and the dashboard.
  • To deliver attendee-facing webinars, including email reminders, follow-ups, and chat.
  • To take payment and issue invoices via Stripe.
  • To send product updates, security notices, and billing emails to account holders.
  • To investigate abuse, fraud, and technical issues.
  • To aggregate anonymised usage statistics for product decisions.

4. Who we share data with (sub-processors)

We use a small number of trusted third-party services. Each one processes only the data needed for their specific role.

  • Supabase (database, authentication) — EU region.
  • Vercel (application hosting) — EU-hosted deployments.
  • Mux (video ingest, transcoding, playback) — EU region.
  • Resend (transactional email delivery) — EU region.
  • Stripe (payments) — GB/EU region.
  • Inngest (background job scheduling) — metadata only; message bodies live with Resend.

We have written Data Processing Agreements with each sub-processor. We do not sell personal data to anyone, ever.

5. International transfers

All personal data is stored in the EU/EEA. Some sub-processors (notably Stripe) may transfer data to the United States under Standard Contractual Clauses.

6. Retention

  • Workspace + webinar content: kept for as long as the account is active. Deleted on workspace deletion.
  • Attendee data: kept for as long as the host workspace exists. Hosts can delete individual registrants via the dashboard.
  • Billing records: 6 years for HMRC compliance.
  • Logs: 30 days.

7. Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict, port, and object to the processing of your personal data. To exercise any of these rights, email privacy@presentr.co.uk. We aim to respond within 30 days.

You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

9. Security

We use TLS in transit, encryption at rest via our sub-processors, role-based access controls on our infrastructure, and row-level-security policies on the database. No system is perfectly secure; if you believe you've found a vulnerability, please email security@presentr.co.uk.

10. Changes

We'll update the “Last updated” date at the top of this page if we make material changes. For significant changes affecting your rights, we'll email active account holders at least 14 days before they take effect.
